9Pic Checkout is a Beta, Enterprise plan feature. Buyer photo options are configured on the Configuration tab and require an assigned payment gateway first.

Overview

Beyond the photos in their purchased package, buyers can optionally add more photos at checkout. Configure these on Configuration → Buyer photo selection. All features here are optional — checkout works without them.

Library selection

When enabled, buyers can browse the full event photo library and hand-pick additional photos during checkout.
Library selection uses photos already in your event. Buyers see the same library they would search on the public event page.
Turning off library selection after it was enabled shows a warning before saving. Buyers who relied on the feature will no longer see the library picker.

Curated pool

A curated pool is a set of organiser-chosen photos — start-line shots, group photos, b-roll, and similar — that buyers can add at checkout. Click Manage curated pool to open the photo picker. Select photos from the event library to include in the pool.

Search refresh (multi-day events)

Allow buyers to refresh search results is the main checkout setting for multi-day events and any event where photos keep arriving after buyers already purchased. When it is on, eligible buyers see a Find new photos option on their purchase. They can search again so newly uploaded photos (for example from a later race day) can be added to the same package, without changing the photos they already have.

How refresh works for buyers

  • Buyers can refresh every 12 hours after a successful refresh (or immediately on first refresh when eligible).
  • Their original bib stays locked for that purchase — they cannot switch to a different bib on later refreshes.
  • They may try a new selfie. It is checked against the selfie already accepted for the purchase before new matches are added.
  • Refresh only adds photos within remaining package capacity. If the package is already full, refresh is not available until capacity remains.
  • For pre-event packages, the buyer must claim their initial photos before refresh is available.
The collapsed Buyer photo selection summary shows Search refresh: Every 12 hours when this is on, or Off when it is not.
Turn this on for multi-day festivals, multi-day races, or any event where photographers keep uploading after early sales. Buyers who already paid can return later and pull in photos that were not available at purchase time.

Admin control for one purchase

Event-wide refresh is not the only control. On a single order’s detail page you can grant or adjust Buyer refresh access for that purchase only — useful when a buyer needs an immediate re-search and should not wait for the 12-hour window. Saving changes

Toggles and limits stage as draft changes in the accordion. Use Save at the bottom of the Buyer photo selection section to persist them — including search refresh. Discard reverts unsaved edits.

Common Questions

Assign and save a payment gateway first. These features are stored on the event’s payment configuration, which does not exist until a gateway is assigned.
Yes. Both can be active at the same time. The Overview tab shows 2 options active when both library selection and curated pool are on. Search refresh is saved in the same section but is tracked separately as Search refresh in the section summary.
No. They are extras buyers can add on top of what their package includes.
Enable it when more photos will appear after buyers may already have purchased — multi-day events, staggered uploads, or long post-event publishing windows. Leave it off for short, fully uploaded single-day sales if you do not want buyers re-searching later.
No. The bib used for the purchase is locked. Refresh re-runs search for that same bib (and optional selfie checks) so new matching photos can be added within remaining package capacity.
